Editing your staff data

WBS staff profiles are created from data stored in a number of databases. If your profile needs updating, the data comes from the following places:

WBS databases: Centrally-managed data

Name: Managed by WBS Human Resources department. Please contact WBS Human Resources.

Pronoun: To add or change your pronoun you will need to login to my.wbs and go to User Profile & Personal Tools > About You.

Email address: Managed by WBS Solutions, please contact the helpdesk.

Room & telephone data: Managed by WBS Academic Services

Teaching activity: This data is managed at group level and comes from ABM. Please contact your group secretary.

Photo: Photographs are updated each term from official staff portraits, organised by the MarComms team. If you have not had your staff photo taken, please contact the MarComms team. If you do not see a picture but have had your photos taken, you may need to grant permission first, you can do this by logging into my.wbs and going to Tools > Staff > Approve My Staff Photos.

My Profile: Self-managed data

My Profile is now available within the University’s Research Administration system Ideate. As a researcher at Warwick, you can use ideate to manage your personal profile data and record information such as your research expertise and biography. If no staff bio exists in Ideate then one can be added in your profile section in my.wbs and then making it available on the public website in the preferences section of my.wbs. We use My Profile data to periodically update your research expertise and biography information on the WBS website.

In addition to managing your person profile in Ideate there is a requirement to upload publications into the University's institutional repository, WRAP. Colleagues with queries about either WRAP or Ideate should contact the Research Office.

Missing a profile page or other data that is not listed above?

If you do not have a page or if you are a faculty member with only contact data visible, your University number may be missing/incorrect in the WBS HR database. This is required to link to the data in My Profile. Please contact WBS Human Resources.
